When you sign up to become a warrior at Drakarion Citadel, we're gonna need some basics. Name, email, phone number - standard stuff. If you're doing personal training or nutrition coaching, we'll ask about your fitness goals, medical history, dietary restrictions, that sort of thing. We need this to keep you safe and make sure we're programming the right way for your body.
Payment info goes through secure processors, not stored on our end. We also collect data from our gym management software - check-ins, class bookings, attendance records. And yeah, we've got security cameras around the facility for everyone's safety.
Pretty straightforward - we use your info to run the gym and give you the best experience. That means processing your membership, scheduling your sessions, sending you class updates or reminders about upcoming warrior challenges.
If you're working with one of our trainers, they'll use your health info to create safe, effective programs. We might send occasional emails about new programs or events at the Citadel, but we're not spamming you with junk. You can opt out anytime.
We also use aggregated data (nothing that identifies you personally) to see what's working and what isn't - which classes are popular, peak training times, that kind of operational stuff.
We're not selling your data to anyone - full stop. Your info stays within the Citadel walls. The only exceptions are service providers we need to operate: payment processors, our gym management software, email service for communications, and our liability insurance carrier.
These partners are bound by contracts to keep your data secure and only use it for the specific services they provide us. If there's ever a legal requirement to disclose information (like a court order), we'd comply with that, but we'd let you know unless legally prevented from doing so.
Medical or emergency info would only be shared with emergency services if needed to keep you safe.
Our website uses cookies - those little files that remember you. Nothing sinister, just stuff like keeping you logged into your member portal or remembering your preferences. We use analytics to see how people navigate the site so we can make it better.

It's your data. Under Canadian privacy laws (PIPEDA and BC's privacy legislation), you've got rights. You can request to see what info we have on you. You can ask us to correct anything that's wrong. You can request we delete your data, though we might need to keep some stuff for legal or contractual reasons.

We keep your info as long as you're an active member, plus a reasonable time after. Financial records stick around for 7 years because that's what the tax folks require. Medical or injury-related info gets kept longer for liability protection.
If you cancel your membership and request deletion, we'll wipe what we can, but again - some stuff stays for legal reasons. After the retention period, data gets securely destroyed or permanently deleted.
Things change. Laws get updated, we might add new services, technology evolves. If we need to update this policy, we'll post the new version here and update the date at the top. For major changes, we'll send you an email or post a notice at the gym.
It's worth checking back here occasionally to stay in the loop. Continued use of our services after changes means you're cool with the updated policy.
